The purpose of writing an Inter-Department memo is to share information regarding things that has taken place within different units in the Department. This memo is generally detailed. Step 1, this format should be utilized for an official communication within the Department. The report will be typed on size 8 1/2x 11 white paper. This first paragraph tells NEOTWY…followed by the words: “Details are as follows”. Step 2, the second paragraph provides the major details and it elaborates on the root information given in the first paragraph. Step 3, the third paragraph contains a description of the area or location if appropriate to the incident. Step 4, the fourth paragraph contains data on the personnel involved. (necessary only when personnel is the subject of report). Step 5, the fifth paragraph contains personnel present at the scene. Step 6, the sixth paragraph contains notifications made in connection with the incident. Referring to, what other agencies or executives have you notified regarding this incident. Step 7, the seventh paragraph contains the forms prepared. Step 8, the eighth paragraph contains an account of any investigation you conduct in connection with incident. Step 9, the ninth paragraph is conclusions drawn as a result of investigation as well as recommendations for further actions by other department units or for disciplinary actions. The 10th and final step is to enter the words “For your information” then quadruple space and enter below your title and full name. Ensure to sign above your typed name. Once completed, be sure to check it over for any grammatical errors.
